PSA Exhibition Standards requires that any PSA-recognized exhibition complete PSA Exhibition Acceptance Spreadsheets. Blank PSA Acceptance Spreadsheets can be downloaded from:

Microsoft Excel software is required to open and complete an Acceptance Spreadsheet.
A separate Acceptance Spreadsheet must be created for each PSA Division and each Section of each Division – and, in the case of a Circuit, for each Judging (see Tips at the end of this document for suggestions on completing the spreadsheets). BE SURE TO USE A FRESHLY DOWNLOADED BLANK SPREADSHEET FOR EACH DIVISION/JUDGING/SECTION – AND SAVE IT WITH A UNIQUE NAME e.g.,

All the completed spreadsheets for an Exhibition/ Circuit must be emailed to:
exhibitionresults@psa-photo.org
with a copy to:
exhibitions@psa-accepts.org
within ninety (90) days of the last Judging(s).
Exhibition organizers may find it easiest to import the required data into the Acceptance System Spreadsheet from their own database or another spreadsheet, depending on how their records for the Exhibition/Circuit are maintained.
Please be accurate and complete. This data is used for your entrants as a basis for future PSA Star Ratings and Distinctions.
Country Names: The names of countries, where requested, must be in their English form, that is, Germany not Deutschland, or Sweden not Sverige. A pulldown list of countries is provided for each cell where a country name is required. A reference list of English language titles is also provided in the Acceptance Spreadsheet to the right of where image titles are entered.

Please complete as follows:
- Name of Exhibition/Circuit: Enter the name that received PSA recognition, but please do not include the year. For example: S4C International Exhibition of Photography.
- Exhibition/Circuit No.: Enter this number if it has been assigned to you from past exhibitions or circuits. Otherwise leave blank – a number will be assigned to your Exhibition/Circuit for use in future years.
- Division No.: Enter the PSA Division number from the list of Divisions below.
- Year: Enter the calendar year of judging.
- Closing Date: Enter the date of closing in U.S. format (just the last two digits of the year: Month/Day/Year (xx/xx/xxxx).
- Judging No.: if this is an exhibition, enter the number 1; if it is a Circuit, assign a unique number (1, 2, 3…etc) to each Exhibition in the Circuit.
- Total No. of Judgings: If an exhibition, enter the number 1; if a Circuit, enter the total number of judgings.
- Section No.: Enter the Section No. (1, 2, 3 etc.) for this particular Judging.
Please complete as follows:
- Family and Given Names: Enter the full name of the person who will be our contact should we have any questions on the information in this spreadsheet. Normally, that is the person who completes the spreadsheet - but it must bethe same name for the entire Exhibition or Circuit.
- Country: the country where the Contact resides.
- Email Address: The Contact’s email address.
- Country Dialing Code: The country’s telephone dialing code e.g., 1 for U.S., 44 for U.K.
- Phone Number: The Contact’s phone number (excluding the Country Code).
Please complete as follows for each judge (for this Section and this Judging!):
- Family Name: The Judge’s family name (suffixes – such as Jr. or III are optional). No titles, please.
- Given Name: The Judge’s given name or names (additional initials are optional).
- Country: The Judge’s Country of residence (in English form, please – i.e., Germany not Deutschland).
Please complete as follows for each accepted image in this Section and in this Judging. If available, you can import this data from a database or from another spreadsheet depending on how you maintain your Exhibition/Circuit records.
- Family Name: The Entrant’s family name (suffixes – such as Jr. or III are optional). No titles, please.
- Given Name: The Entrant’s given name or names (initials are optional).
- Image Title: The unique title of this Image.
- Country: The Entrant’s Country of residence (in English form, please – i.e., Germany not Deutschland).
- Medal/Award: Enter Y if the Image was awarded a medal, N otherwise. Please do not enter medal details! If completing this form manually, you can select from a dropdown menu in each cell. A medal must be any Award higher than an HM, such as a PSA or an Exhibition's Best of Show, Gold, Silver, Bronze or Judges' Choice medal.
- A separate spreadsheet must be completed for each Division/Judging/Section. However, much of the information may be common to all or some of the spreadsheets – such as the Section 2 Contact Information and much of the Section 1 Summary Information. Time can be saved by first creating a ‘template spreadsheet’ containing common information, and using it as the basis for all the spreadsheets.
- Similar time economies can be achieved by sequentially completing sections that have similar information (such as the same judges) together.
- If the Section 4: Image Results information is stored in another spreadsheet (correctly ordered), just copy and paste it into Section 4 anchored on cell in the top left of the Image Results section right below the column heading ‘Image Title’ (cell L25).
- If the Section 4: Image Results information is being exported from another computer source such as a database, the export should be in the form of a tab delimited file ordered as Image Title, Medal (Y/N), Family Name, Given Name, Country. This can readily be imported into the Acceptance Spreadsheet in Excel by (a) removing worksheet protection by selecting Tools>Protection>Unprotect Sheet from the Excel menus; (b) selecting the cell in the top left of the Image Results section right below the column heading ‘Image Title’ (cell L25); then (c) from the Excel menu selecting Data>Refresh Data and navigating to select the tab-delimited file. PLEASE TAKE CARE WHEN REMOVING PROTECTION NOT TO CHANGE ANY OF THE NON-WHITE CELLS IN THE SPREADSHEET!
